In the convoluted and competitive landscape of the steel distribution industry, BSi Steel, one of South Africa's leading steel distributors, faced a formidable obstacle in maintaining a precise and up-to-date record of truck deliveries to its valued customers. BSi's truck drivers relied on manual paperwork to obtain customer signatures, which served as proof of delivery. However, this outdated and inefficient process led to several challenges, including errors in data entry, time-consuming administrative tasks, and increased operational costs. To overcome these obstacles and enhance its delivery process, BSi Steel implemented KAISPE’s digital signature capture solution, KPoD, that works in tandem with Microsoft Dynamics 365 Finance. The result has been a streamlined delivery process, an 80 percent reduction in errors, and an overall improvement in the efficiency of BSi’s supply chain management system.
Founded in 1985, BSi Steel is among South Africa’s leading steel manufacturers and distributors. Headquartered in Johannesburg with operations in several African countries, the company serves diverse clients, including construction companies, engineering firms, and manufacturers. The company was looking for ways to optimize and modernize its operational processes, especially the ability to streamline and track truck deliveries to clients. These trucks hauled a wide range of products like steel pipes, tubing, and galvanized coil to a variety of customers such as construction titans, engineering pioneers, and manufacturers of various stripes.
Replacing error-prone paperwork with digital delivery proof process
The company’s process relied heavily on manual paperwork for customer signatures, which also served as proof of delivery. This often led to errors, resulting in inefficiencies and ballooning operational costs. BSi Steel recognized the need to streamline its delivery proof process and reached out to KAISPE, a leading provider of digital solutions. Together they modernized BSi Steel's delivery proof process by utilizing KPoD, KAISPE’s innovative, cloud-based tool. KPoD empowers truck drivers to collect electronic signatures via mobile devices. This digital solution syncs signatures with corresponding sales invoice records in Microsoft Dynamics 365 Finance, creating a secure mark of proof on every delivery.
“We partnered with KAISPE and utilized their product, KPoD, to optimize our delivery process and enhance customer service. Their digital signature capture solution has been instrumental in improving our supply chain efficiency,” said Andrew Wood, Group IT Executive at BSi Steel.
KPoD and Microsoft Dynamics 365 Finance automate delivery proof process and real-time insights
With KPoD, signatures are instantly uploaded to the KPoD platform, eliminating the need for paper documentation. KPoD then automatically updates the relevant sales invoice records in Microsoft Dynamics 365 Finance, attaching the electronic signature as proof of delivery.
“KPoD’s user-friendly, cloud-based platform empowers our drivers to streamline operations by capturing signatures on the go and not be burdened by the paperwork,” said Andrew Wood. “This seamless integration with Microsoft Dynamics 365 Finance enhances our customer service and documentation accuracy, ensuring a smoother, more responsive experience for our clients.”
Implementing KPoD has significantly improved BSi Steel’s delivery proof process, eliminating the need for paper documentation, reducing the risk of errors, and saving time for drivers and the back-office team. BSi Steel’s on-time delivery rate has shot up from 85 percent to 95 percent. The app's digital signature capture and GPS tracking features help track and optimize truck routes and maintains an accurate record of deliveries, reducing errors by 20 percent. This optimization resulted in a 15 percent surge in customer satisfaction, reinforcing BSi Steel's position as a reliable and customer-centric steel manufacturer and distributor.
“Our collaboration with KAISPE and the integration of KPoD has redefined our delivery landscape. We’ve eliminated errors and injected turbocharged dynamism into customer service,” Wood said.
“KPoD’s user-friendly, cloud-based platform empowers our drivers to streamline operations by capturing signatures on the go and not be burdened by the paperwork. This seamless integration with Microsoft Dynamics 365 Finance enhances our customer service and documentation accuracy, ensuring a smoother, more responsive experience for our clients.”
