Nordomatic builds a smarter future with Dynamics 365

Nordomatic, headquartered in Stockholm, is the leading independent Building Management System (BMS) integrator in Scandinavia. Consolidation for well-managed growth

In 2010, Nordomatic recognized—and acted on—the opportunity for significant expansion throughout Sweden. Five years later, the company was serving major metropolitan areas in Denmark, Norway, The Netherlands, and the United Kingdom, with average annual growth 20% higher than in the previous decade. Today, Nordomatic’s Building Management Services connects 1 million smart assets.

With growth comes complexity, and expansion in five markets was testing Nordomatic’s business processes and supporting systems. A decade ago, Nordomatic employees in Sweden used Jeeves as their enterprise resource planning (ERP) system, integrated with Mobigo, a mobile field service management solution, and InExchange, an invoice distributing system. They manually processed much of Nordomatic’s project operations workload and reporting using Excel worksheets. As the company expanded across Northern Europe, each new acquisition added a different business system and another disparate process.

Leadership understood that the company had to unify and streamline its systems and reduce manual tasks for more efficiency, to keep up productivity. And for the company to continue to provide exceptional service, it needed real-time, accurate account data with reliable accessibility anywhere employees and customers were located. Nordomatic needed to expand its capabilities along with its operations.

The company began with an assessment of its business requirements and growth strategy. It selected the Technology Consulting teams at EY as its collaborator because of its extensive knowledge of Microsoft Dynamics 365 and because of the EY organization’s record of working with rapidly growing private equity owned companies that need quick and precise transformation projects.

Nordomatic selected Dynamics 365 Finance, Project Operations, and Supply Chain Management to connect its core business systems on a single, cloud-based platform. The implementation would harmonize the company’s disparate processes and align financial and customer data, offering accessibility to customer service information in real time. Finance teams would benefit from newly streamlined monthly reconciliation and reporting processes while gaining deeper insights into the company’s financial health.

A global template speeds expansion

Nordomatic started to implement the Dynamics 365 solution in September 2023 at its Swedish offices. The solution would be the template for later deployments as the company grew in Northern Europe. The template provided necessary standards, making IT, finance, and operations management easier, while letting each market adjust functionality based on their specific regional business needs. Nordomatic collaborated with the EY organization to create a global template that harmonized processes across the different countries where Nordomatic operates, based on best practice. “When companies, like Nordomatic, have a strategy to grow through acquisitions, the need for process harmonization and ability to quickly scale a solution is key. This Dynamics 365 implementation project is enabling both, and I’m super happy with the confidence put in EY and the team!” says Johan Hertzman, Director, Technology Consulting, EY Sweden. This will allow Nordomatic to have a “rigid core” of business processes, ways of working and performance indicators, and it will make it faster and simpler to apply the Dynamics 365 solution to other legal entities in the group and future acquisitions. “With Dynamics 365 we have a good foundation that will easily grow with us as our needs evolve,” says Nordomatic Sweden Finance Director, Johan Rönström.

Making smart solutions possible

The move to Dynamics 365 immediately eliminated Nordomatic’s reliance on multiple data warehouses, reducing maintenance and system labor and costs—and energy consumption, which aligned with the company’s mission and reinforced its sustainability message.

The benefits didn’t stop there. Nordomatic’s team in Sweden is reaping the rewards of the company’s new financial management system. Automation is the biggest efficiency builder, and finance teams quickly came to rely on the simplified accounting process in Dynamics 365 Finance that makes General Ledger entries, reconciles bank records, and makes month-end reporting tasks easier. “We have over 25 thousand transactions per month in Sweden that Dynamics 365 has helped us move from significant manual handling to automated processing”, says Johan Rönström, Finance Director, Nordomatic, Sweden. With fast, flexible custom report generation, managers trust their data to tell the real business health story.

Smart integrations boost efficiency

The number one incentive for the Dynamics 365 implementation was to consolidate all business operations, no matter where they were located, in a single solution with streamlined processes. The company is enjoying the success of that effort. With Dynamics 365 Project Operations as the central hub connecting financial and operational activity, critical applications that Nordomatic depends on, like its Mobigo field service management, InExchange invoicing, and ExFlow solutions, are seamlessly integrated with Dynamics 365. With unified project, product, pricing, and customer data, employees can easily post customer invoices in Dynamics 365 and rely on InExchange to present them to customers. Incoming vendor invoices are processed in ExFlow and move automatically to Dynamics 365 to complete the accounts payable process. Nordomatic’s project managers use the Mobigo integration to manage complex projects, including resource allocation, time tracking, and expense management.

Smarter reports support intelligent decisions

A valuable addition to Nordomatic’s analytics arsenal is Power BI, which provides deep business insights in a flexible and user-friendly interface. Business-wide reporting capabilities are markedly improved, and with impressive filtering and customization functionality, reports are more relevant and insightful than ever. Employees can view business data in real time. With data pulled from all corners of the Dynamics 365 ecosystem, Power BI allows Nordomatic’s finance managers to make better business decisions and more accurate forecasts.

More smart expansion on the way

The success of the implementation in Sweden is serving as the model for further rollouts, each with regional enhancements to meet each market’s requirements. Denmark and Norway markets will launch their solutions in March 2024, followed by the UK and Benelux later in the year. AI-driven, low-code/no-code Power Apps will automate even more business processes, furthering efficiency and ensuring accuracy in daily tasks—all without special coding or IT maintenance.

Always open to innovation, Nordomatic next has its sights on Dynamics 365 Sales, rolling out a solution in late 2024 to enhance its CRM, optimize its quotation and sales processes, and improve customer data analytics.

Microsoft Copilot is also on Nordomatic’s horizon. This “AI companion” promises to intelligently help employees make faster and better business decisions, more personally connect with customers, and resolve service issues faster, saving time and nurturing meaningful connections.
